BASIC PURPOSE : This position provides administrative support to the Real Estate department team.
This includes performing various clerical tasks, related reporting, technical and organizational duties in a timely and efficient manner.
Also, projecting a professional Company image in person, by phone or in electronic communications is of utmost importance.
MAJOR RESPONSIBILITIES:
Monitor and respond to daily email and phone calls
Open all mail for RE department and ensure it’s received by the correct department for processing.
Obtain various signatures for documents and agreements
Create mailing labels, send various items via interoffice, postage or overnight mail
Request new vendor information and W-9 forms for invoice accounting set up
Obtain invoice approval from RE Project Managers
Review and pay vendor invoices
Mail checks as needed
Update vendor list and information as needed
Create, enter and maintain all project types and project information and files uploaded to Projectmates
Request store numbers from Fixed Assts for new project locations
Create and send various reports as necessary in Projectmates
Obtain signature, track status, mail and file CAT Scale agreements for each new store location
Request food concept/s for new projects to restaurant brand contacts
Status Franchise Report - track and report status and updates of each store’s franchise/lease agreement
Ensure restaurant applications and franchise agreements are executed and filed
Obtain food concept franchise number(s)
Obtain COI for restaurant brand
Track franchise and lease agreement renewal dates
Assist with various tasks, reports and planning of three Executive Real Estate meetings per year
Maintain, update and distribute Construction Schedule for all new Real Estate store, RV and truck wash projects
Track and report internal and external Real Estate Leads
Send updated longitude/latitude and project details for all project types to Dimension contact for mapping
EDUCATION AND EXPERIENCE:

High School diploma or equivalent
Experience:
Prior experience as an Administrative Assistant or other related work experience

Manual dexterity sufficient to operate a computer keyboard and calculator
Requires normal range of hearing and vision
Travel required as needed
